( 01 ) The platform

You don't need more AI. You need it all working together.

AI made each of us faster, but not the business as a whole. Provicity brings your AI, your team and your clients onto the same page, with a person still approving what matters.

( 02 ) The problem

Too many businesses are bolting AI onto what they already do.

They lay it over processes that were designed for people clicking between tools. Everyone gets faster in their own way, and the business as a whole doesn't. More drafts, more rework, more AI running that nobody is watching, and more spend nobody can attribute to anything.

Overlaying AI
  • Start from how the work is done today, then add AI to speed up each step.
  • Everyone brings their own tools and prompts on top.
  • Tasks get faster. The process stays just as scattered.
  • Costs grow with every tool, and value is hard to point at.
Running the business AI-first
  • Start from the outcome, then build the process to run with AI from day one.
  • One shared process everyone works in, with people deciding and approving.
  • The work keeps moving between your decisions.
  • Cost and value are measured process by process.

What overlaying looks like day to day

01

Their own assistant

Each person gets faster on their own terms. Nobody shares what worked, and nothing carries over when they move on.

02

Their own memory

What the AI knows lives in one person's chat history. The organisation knows none of it.

03

Their own process

Two people do the same job two different ways, and both are now running at machine speed.

Assistants are brilliant for one person. An organisation needs something else.

( 03 ) What it's costing

The bill is bigger than anyone planned for.

Analysts and researchers keep finding the same four things: the cost runs past the budget, leaders fear being left behind, work is scattered across too many tools, and people are tired of constant change.

Cost beyond the plan

40%+

of autonomous AI projects are forecast to be cancelled by the end of 2027, with Gartner citing escalating costs, unclear business value and inadequate risk controls.

Gartner, June 2025 →
The fear of being too late

65%

of CEOs now worry they are underinvesting in AI and missing out, up from 53% a year earlier, in a survey of 2,500 chief executives across 23 countries.

Cisco CEO study, as reported by UC Today, June 2026 →
Fragmented work

~4 hrs a week

lost to reorienting after switching between apps, with the average person switching about 1,200 times a day. The study followed 137 workers at three Fortune 500 companies, and it predates the current wave of AI tools.

Harvard Business Review, August 2022 →
Change fatigue

61%

of UK workers say they are overwhelmed by the pace of AI change, unchanged from a year earlier, and 60% say their employer has no AI guidance or they aren't sure it exists.

Henley Business School, 2,900 workers, June 2026 →

“The unchanged feelings of overwhelm suggest that people are experiencing ‘change fatigue’”

Professor Keiichi Nakata, Henley Business School

At least half of generative AI initiatives will overrun their budgets by 2028, Gartner predicts, because of “poor architectural choices and lack of operational know-how.”

Gartner, as reported by Campus Technology, June 2026

Separately, Headspace's 2026 Workforce State of Mind report found that 70% of employees say their employer introduced new AI tools in the past year, and 70% say cognitive overload has hurt their productivity. Source →

None of this is a problem with the AI itself. It's a missing layer: nothing that decides what runs, what it costs and what a person has agreed to.

Figures are as published by each source, which are linked. Provicity has not independently verified them.

( 04 ) The gap

Two answers on offer, and a gap between them.

The assistant answer

A brilliant brain for one person, in one conversation, with that person's permissions. It's excellent at the task in front of you. It can't hold a process open for weeks, wake up when an email arrives, bring a client in, or answer for what it did.

The enterprise answer

A control tower bolted onto a suite you already pay for, or a data programme that starts with consultants, engineers and a long runway. It's built for very large organisations, and it arrives slowly.

Provicity is the third option: an operating system for the work itself, for the business that doesn't have a programme to run it.

It isn't a control tower on top of someone else's suite, a data-modelling project, or a toolkit for developers. And quick, single-person tasks are still best left to your assistant. This is for the work that outlasts a conversation.

( 05 ) How it differs

How Provicity differs from traditional agent-style automation.

Most AI tools run a routine someone set up in advance. That works until real life doesn't follow the plan. Provicity treats every reply, document and calendar event as a reason to look at the whole process again, and when nothing fits, it adapts instead of stopping.

Live, not scripted.

( 06 ) The layers

What an operating system for your business actually needs.

A model on its own is just a brain. To be useful to an organisation it needs what an operating system gives a computer: something to schedule the work, somewhere to keep it, rules about who may do what, and a record of what happened. These are the layers, and Provicity provides every one of them.

01

It knows when to act

Work wakes on a new email, a calendar change or a signal, and only the process affected. Quiet hours are respected, and nothing sits checking for changes and billing you while nothing has happened.

02

Processes that hold state

A process is a living thing with an owner, a history and the people involved. It stays open for as long as it needs to, and picks up exactly where it left off.

03

Programs written in sentences

What a process does is set out in plain language and versioned like any other asset. Start from a ready-made Business in a Box and change it by describing the change.

04

Permissions and approvals

Every step has a defined set of things it may touch. Anything that leaves the business or commits you to something waits for a person to say yes, and trust is earned one type of action at a time.

05

Memory the organisation owns

Records, analyses and the history of every relationship belong to the business, not to whoever happened to type the prompt. It stays when people move on.

06

Connections in and out

Mail, calendar, meetings, messaging and forms feed in as signals. Records, events and exports flow back out to the systems you already use. Nothing is a dead end.

07

People who aren't users

Colleagues get roles and permissions. Clients, candidates and counterparties take part through a secure link, with no seat and no account to set up.

08

One cost view

Every process and feature is metered. Budgets pause work at a hard limit, and you can see what each process cost against what it delivered.

09

Security and audit

Encrypted at rest, with a full audit trail, retention controls, and export or erasure on request. Instructions hidden inside an incoming email are treated as content, never as commands.

See how it's governed →
( 07 ) It compounds

Every run makes the next one better, and the improvement belongs to you.

Every process records the same shape of history against a shared definition, so Provicity can see what no single assistant could. Across forty placements, it might notice that the step after the offer is skipped most of the time. It proposes the change, you approve it, and the standard improves for everyone.

Illustrative example

Across 40 placements

The reference check after offer was skipped 28 times.

Proposed change to the standard

Make the reference check optional once an offer is accepted.

( 08 ) Your choice of AI

Use ours, or bring your own. We supply everything it needs to be useful to a business.

You don't need an AI account to get started. Provicity's own AI is built in, with each task routed to the most cost-effective option. If your business already has a preferred provider, such as Anthropic or OpenAI, bring your own key and Provicity works with it. Either way, the data layer, the shared vocabulary, the controls and the governance stay with you, and switching provider doesn't mean starting again.

Our AI or yours. One operating system. Your whole business working together.

( 09 ) Build or buy

You could build this yourself.

On top of any AI model, you'd need to build and keep running everything on this list. Each piece is doable. All of them, working together and kept running, is a company. The AI model is the cheapest part of the stack.

  • 01A versioned data model, scoped to each process
  • 02A rulebook for every kind of action it can take
  • 03An event system that wakes only the right process
  • 04A scheduler that respects quiet hours and budgets
  • 05Context assembly that works across AI providers
  • 06Approvals, permissions and protection from hostile content
  • 07Identity for people who will never be users
  • 08Metering, budgets and bring-your-own-key
  • 09One ranked view across every running process
  • 10Audit, retention, encryption and penetration testing
( 10 ) No programme required

No IT team, data modellers or consultants.

Start with a suite built for the systems you already use, and be live in days. When a connected system changes, the platform adapts, not you.

If you run a small firm

You already use AI, and so does your team, each in their own way. Provicity runs your placements, deals or client work as processes. It listens to the mailbox and calendar, brings clients and candidates in without giving them seats, asks you before anything goes out, and shows you where everything stands and what it cost. Same AI you'd choose anyway. It finally has somewhere to put the work, and someone in charge of it.

If you run operations or technology

You're being offered control towers on suites you already pay for, or a data programme with a team of engineers attached. Provicity is the operating system for the work itself. It starts from mail, calendar and records, runs processes across your people and your counterparties, and doesn't need a transformation project to switch on.

AI made people faster. Provicity gets the whole business moving together.
